How to Organize Receipt Screenshots on iPhone and Mac
Organize receipt screenshots on iPhone and Mac: find them in Photos Utilities, scan paper receipts, and set up a simple monthly routine for expenses.
The quickest way to organize receipt screenshots on iPhone is the Receipts collection that Photos already builds for you: open Photos, tap Collections, scroll down, tap Utilities, then tap Receipts (iOS 26 and iOS 27). Paper receipts are better scanned than photographed, using Notes or Files, and on a Mac you can save online receipts straight into a Web Receipts folder as PDFs. What turns all that into a system is a small monthly routine: one naming pattern, one folder per month, and one export to your expense app.
- Find receipt screenshots you already have: Photos > Collections > Utilities > Receipts.
- Save paper receipts: scan them in Notes or Files.
- Save online receipts on Mac: Print > PDF > Save to Web Receipts.
- For expenses: name, file and export once a month.
Where are receipt screenshots on iPhone?
Photos sorts some images by what is in them, in a section called Utilities. Apple describes it as finding photos "based on their content," such as identity documents, receipts, handwriting, illustrations and QR codes, and Receipts is one of those collections.
- iOS 26 and iOS 27: open Photos, tap Collections, scroll down, tap Utilities, then tap Receipts.
- iOS 18: open Photos, scroll down, tap Utilities, then tap Receipts.
- Mac (macOS Sequoia 15 and later): in Photos, click Receipts below Utilities in the sidebar. If the list is collapsed, hold the pointer over Utilities and click the button that appears.
Two limits are worth knowing. The collection only sees images in your photo library, and Mac screenshots save to the desktop by default, not to Photos, so receipts you capture on a Mac will not show up there. And because the grouping is automatic, an order confirmation that does not look much like a receipt can slip through.
Photos search helps fill the gap. You can search for text in images (Apple's examples are an email address or a phone number), and every photo has a caption field that Search can find. Typing "reimburse" or a client name into a receipt's caption (swipe up on the photo or tap the Info button) is a quick built-in way to flag it.
How do I save paper receipts on iPhone?
Scan them rather than taking a photo. The scanner finds the edges of the page and lets you adjust the crop before you keep it.
- Notes: open or create a note, tap the Attachment button, then tap Scan Documents. Hold the receipt in view (in Auto mode it scans by itself, or tap the Shutter button), adjust the corners, tap Keep Scan, then tap Done. In iOS 26 you can also choose flash or an image filter.
- Files: tap the More button, tap Scan Documents, scan the receipt, then choose a location (a Receipts folder in iCloud Drive, for example) and tap Save.
- Straight to your Mac: in Finder, Control-click the folder where receipts belong, choose Scan Documents (you may need to choose Insert from iPhone or iPad first), and scan with your iPhone. The scan appears in that folder as a file. Both devices need Wi-Fi and Bluetooth on, the same Apple Account, and to be within 30 feet (10 meters) of each other.
Files is the better home for receipts you will hand over later, because each scan is already a file in a folder you chose.
What is the best way to save online receipts on Mac?
Skip the screenshot when you can. On the order confirmation page, choose File > Print, open the PDF pop-up menu, then choose Save to Web Receipts. The PDF lands in a Web Receipts folder inside your Documents folder, with the whole page and selectable text. Take a screenshot when there is no printable page, for example inside an app or a checkout pop-up.
How do I organize receipts electronically for expenses?
A routine that takes a few minutes a month beats a perfect system you never keep up.
- Capture right away. Screenshot the confirmation screen before you close it, making sure the merchant, date, total and order number are all visible.
- Use one naming pattern. Date first, then merchant and amount, for example
2026-10-03 Corner Grocer 42.18.png. Dates first sort in order. On a Mac, select several files, Control-click one, choose Rename, and use Add Text or Format to rename them in one go. - Keep one folder per month. A folder such as Receipts/2026-10 in iCloud Drive is reachable from Files on iPhone and from Finder on Mac.
- Tag what needs action. On a Mac, Finder tags such as Reimburse, Business or Personal let you filter a month's folder in seconds.
- Export once a month. On iPhone, open the Receipts collection, tap Select, pick the month's receipts, tap the Share button, tap Export Unmodified Original, choose a location, then tap Save. In Photos on Mac, select them and choose File > Export > Export Unmodified Original; the File Name menu can number the files in sequence.
- Submit, then archive. Expense and accounting tools generally accept image or PDF uploads. Once a month is submitted, move its folder into an archive so the current folder stays short.
How long you need to keep receipts, and whether a screenshot is accepted instead of the original, depends on your country's tax rules and your employer's expense policy. Check your local rules before you delete anything.
