How to Organize Travel Screenshots on iPhone (iOS 27)
Organize travel screenshots on iPhone: boarding passes in Wallet, confirmations offline in Files and Notes, a trip keyword in Photos, private ID images.
The best way to organize travel screenshots on iPhone is to move each one to the app built for it: boarding passes and tickets into Apple Wallet, booking confirmations into Files or Notes where they stay available offline, and everything else into one trip album or keyword in Photos. Then lock down anything that shows a passport or ID. Keywords, Create a Pass, Call Context and the Identity Documents collection are new in iOS 27; the rest also works in iOS 26.
- Boarding passes and tickets: Apple Wallet.
- Confirmations and itineraries: Files (set to Keep Downloaded) or a trip note in Notes.
- Everything else: one album or keyword per trip in Photos.
- Passport and ID images: the Hidden collection or a locked note.
How do you save a boarding pass to Apple Wallet instead of a screenshot?
Open the airline's app or confirmation email, tap Add to Apple Wallet, and follow the instructions. You need Face ID or Touch ID turned on, and if the button is missing, Apple suggests asking the airline whether it supports Wallet. Once added, a pass can appear on your Lock Screen near departure time (the Suggest on Lock Screen option in the pass details), and eligible boarding passes let you share a flight-tracking Live Activity with someone through Share Flight Tracker.
For tickets and cards that never offer a Wallet button, iOS 27 adds Create a Pass:
- From a screenshot: on an Apple Intelligence iPhone (iPhone 15 Pro or later), take a photo or screenshot that includes the barcode or QR code, tap Add to Wallet, and follow the prompts. View Original Photo shows the source image later.
- By hand: in Wallet, tap the Add Card button, tap Create a Pass, tap Create Pass Manually, then choose a template and fill in the fields.
Apple pitches custom passes for things like a library card or gym membership. For a flight, use the airline's own pass when it is offered, and keep the original screenshot until you have boarded.
How do you keep travel confirmations available offline?
A screenshot in Photos is not automatically an offline copy. With iCloud Photos and Optimize Storage turned on, your iPhone keeps space-saving versions and the originals live in iCloud; when space runs low, Photos optimizes the items you open least first, and originals download over Wi-Fi or cellular. For anything you cannot travel without, use a second home:
- Files. Save the PDF or image of each confirmation to a trip folder in iCloud Drive. Touch and hold a file and tap Keep Downloaded so it stays on your iPhone. If that option does not appear, the file is already stored locally.
- Notes. Make one note per trip and paste in screenshots, confirmations and addresses. Type the booking reference, flight number and hotel address as text too: Notes search covers typed and handwritten text, objects in images and text in scanned documents, so typed text is the safest bet. Paper documents can go in with Scan Documents, which saves them as a PDF in the note.
One more iOS 27 trick on Apple Intelligence iPhones: Call Context can surface relevant information when you call a business, such as a confirmation code from Mail when you call an airline.
How do you organize travel screenshots in Photos?
Keep the screenshots that stay in Photos together, so you are not scrolling past vacation photos at the gate:
- One album per trip. Tap Collections, tap Albums, tap the Add button, then New Album. Pin it to the top of Collections: tap Edit next to Pinned, then add it.
- One keyword per trip (new in iOS 27). Open a screenshot, tap the Info button or swipe up, tap Add Keywords and type something like lisbon-oct. In Manage Keywords (your profile at the top of Collections), choose Add to Favorite to turn that keyword into a filter in your library, albums and collections.
- Favorites for the must-haves. Favorite the two or three screenshots you will need first; Favorites sits in the Pinned section of Collections.
- Text search as a backstop. Photos search can find text such as an email address or phone number inside images, so try the booking reference as a search term.
The Trips collection groups photos and videos by their location data, so it is built for the pictures you take on the trip rather than the confirmations you saved before it. For more on what Photos now does with screenshots, see Is the iOS 27 Photos app enough for your screenshots?
How do you keep passport and ID screenshots private?
iOS 27 makes ID images easier to find: Photos now has an Identity Documents collection under Utilities that gathers pictures of passports, licenses and similar documents. That is handy, and a reason to protect them:
- Hide them. Open the image, tap the More button, then Hide. The Hidden collection is locked by default with Face ID, Touch ID or your passcode, and you can remove it from view by turning off Show Hidden Album in Settings > Apps > Photos.
- Or lock them in Notes. Lock a note from the Note Actions menu, using your device passcode or a custom password. Notes with PDF attachments cannot be locked, so a scanned PDF needs a different home.
- Keep them out of shared albums. Advanced Data Protection, if you turn it on, end-to-end encrypts Photos, Notes and iCloud Backup, but Apple notes that the Shared Albums feature in Photos does not support it.
- Redact before you send. If you share a booking screenshot, cover the passport number first. Here is how to blur or black out a screenshot on iPhone.
US travelers can also create a Digital ID in Wallet from a US passport, accepted at TSA checkpoints before domestic flights. Apple is clear that it is not a replacement for your passport and cannot be used for international travel or border crossing.
Can an app sort travel screenshots for you?
Yes. Pizazoo for iPhone and iPad is one option (full disclosure: we make Pizazoo):
- A Travel category. On-device AI sorts the screenshots in your photo library into categories, Travel among them, so boarding passes and booking confirmations can collect in one place without tagging each one.
- Search by booking number. On-device text recognition indexes every screenshot, so typing a booking reference or flight number finds the screenshot that contains it. Recognition and search run on the iPhone, so looking something up does not need a connection.
- Save from any app. Save to Pizazoo in the share sheet files an image with a category, tags and a note, and a new screenshot's notification lets you categorize it from the Lock Screen.
- Before you share, blur or black out details in the markup editor.
The app is free on iOS 17 or later. The one-time Pro upgrade adds saved searches, color tags, custom categories, shared sets and iCloud Sync with Pizazoo for Mac. Get Pizazoo on the App Store.
